This notice explains how Toolkitcraftcore uses personal information when you write to us, book a holdings sitting, or send source files for a commission. It should be read with the cookie notice.

What we collect

From enquiries: name, email, the commission you selected, approximate lot count, committee date if given, and the message. From engagements: the professional contact details of the asset manager and others you copy in, plus whatever personal data sits inside the rent roll or tenancy schedule you choose to send (often occupier names and, occasionally, individual correspondents at managing agents).

Why we use it

We use enquiry data to reply and to quote. We use engagement files to draw the plates you asked for and to keep a working archive of that mandate. The legal bases are steps prior to a contract, performance of the contract, and legitimate interests in running a small United Kingdom practice. Where a rent roll contains information about individuals, you must have a lawful basis to share it with us.

Retention

Unsuccessful enquiry notes are kept for twelve months. Paid engagement files are kept for seven years after the final invoice, which matches how long committee papers are often revisited. You may ask us to return or delete source files sooner if no invoice dispute remains; we will say if a legal hold applies.

Sharing

We do not sell contact lists. We may use an encrypted transfer service, an accountant, or a printer in England to finish maps. Those parties process only what the job requires.

International transfers

We aim to keep files in the United Kingdom. If a transfer outside the UK is needed (for example a director on the mandate reads a proof while travelling), we will use a UK-approved transfer tool such as the current addendum to standard contractual clauses, or another mechanism recognised by the UK Information Commissioner’s Office at the time.

Your rights

You may ask for access, correction, erasure, restriction, or portability, and you may object to processing based on legitimate interests. You may complain to the Information Commissioner’s Office. Rights are not absolute where we must keep records of a paid engagement or defend a claim.

Children

This site is aimed at professional asset managers. We do not knowingly collect information from children.
